We collect the following categories of personal data: Identity data (full name, date of birth, nationality, passport number, seafarer's book number), Contact data (email address, phone number), Professional data (sea service records, STCW certificates, cook's certificates, maritime medical certificates), Assessment data (practical video recordings, quiz responses, exam results, examiner evaluations), Technical data (IP address, browser type, device information collected during remote proctored exams), and Payment data (transaction records; payment processing is handled by third-party providers, we do not store card details).
3. Purpose of Processing
We process personal data for the following purposes: verifying candidate eligibility for the certification program; delivering the training program and tracking progress; conducting and recording practical video assessments; administering remote proctored examinations; reporting successful outcomes to the Danish Maritime Authority and issuing Cook's Ticket Certificates of Completion; maintaining audit trails as required by Danish maritime regulations; communicating with candidates about their enrollment and progress; and processing payments and managing accounts.
4. Legal Basis
We process personal data based on: (a) contractual necessity (performance of the certification service), (b) legal obligation (Danish maritime regulatory requirements, including Executive Order no. 861 of 19 June 2024), and (c) legitimate interest (maintaining quality and security of the certification process).
5. Data Sharing
We share personal data with: the Danish Maritime Authority (Søfartsstyrelsen) for outcome reporting and regulatory compliance after a successful assessment; our remote proctoring platform provider for exam administration (GDPR-compliant, ISO 27001, SOC 2 certified); our learning management system provider for course delivery and progress tracking; our payment processor for transaction processing; and certified examiners for assessment of practical videos and theoretical exams. We do not sell personal data to third parties.
6. Data Retention
Programme records and associated documentation are retained for the period required by applicable maritime and recordkeeping requirements. Assessment recordings are retained for a minimum of 5 years. Account and contact data are retained for 3 years after the last interaction.

Under GDPR, you have the right to: access your personal data; rectify inaccurate data; request erasure (subject to regulatory retention requirements); restrict processing; data portability; object to processing based on legitimate interest; and lodge a complaint with the Danish Data Protection Agency (Datatilsynet).
